This page explains what personal information the Woodlands Village Homeowners Association, Inc. (“the Association”) holds about its members and visitors, what we do with it, and — importantly — how we use email and how you can tell us to stop.

The short version

  • We email only our own members — the owners and residents of record in this community.
  • We never buy, sell, rent, trade, or harvest email addresses, and we never mail on behalf of anyone else.
  • Our emails contain no tracking pixels and no open- or click-tracking.
  • Under Florida law, official notices go to you by U.S. Mail unless you consent in writing to receive them electronically. That consent is yours to give and yours to withdraw, at any time.
  • You can change how we contact you at any time on the Communication Preferences page, or by writing to us at the address at the bottom of this page.
  • Suspected abuse of our domain should be reported to email address (enable JavaScript to view) — see our Unsolicited Commercial Email / Anti-Spam Policy.

1. Who we are

Woodlands Village Homeowners Association, Inc., a Florida not-for-profit corporation and a homeowners’ association governed by Chapter 720, Florida Statutes.

2. What we hold about members

The Association keeps the records it needs to run the community and to meet its obligations under Florida law and our governing documents. For a member, that typically includes:

  • Name;
  • Property address within the community, and a mailing address if it differs;
  • Lot and parcel identifiers, and the date of sale;
  • Email address and telephone number, where you have given them;
  • Whether you are an owner or a tenant, and whether your account is active;
  • Whether you have consented to receive official notices by email, and the date you did so.

This information comes from you (when you register for a website account, or update your details), and from the Association’s own records — including public property records for the community.

3. What we use it for

To operate the Association, and for nothing else. In practice:

  • Sending official notices — meeting notices, budgets, assessments, and anything else the Association is required or entitled to send;
  • Sending community announcements;
  • Maintaining the roster of members and confirming who is entitled to vote and to access members-only documents;
  • Administering the website, including your login.

We do not use your information for advertising, and we do not profile you.

4. Email — how the Association contacts you

Who we email

Only members of record. Every address on our list belongs to an owner or resident of a property in this community who is registered with the Association, and every website account is approved by an administrator before it becomes active. We do not maintain a public mailing list, and there is no way to subscribe to our email without being a member.

What we send

  • Official notices — communications the Association sends in its statutory or governing-document capacity.
  • Community announcements — practical news about the neighborhood.

We send no commercial or marketing email, and we never send email on behalf of a third party.

Consent, and your right to withdraw it

Florida law requires that the Association’s official notices reach you by U.S. Mail unless you have consented in writing to receive them by electronic transmission (see § 720.303(2)(c)1, Florida Statutes). We record that consent, and the date you gave it, against your member account.

You may withdraw that consent at any time. When you do, your address is removed from the list of email addresses designated to receive notice by electronic transmission (see § 720.303(4)(a)7, Florida Statutes), and your official notices go back to arriving by U.S. Mail. You will not lose any notice by opting out — you will simply receive it on paper.

How our email is sent

Email from the Association is sent from email address (enable JavaScript to view) under the name “Woodlands Village HOA”. Where a board member sends a message, replies are directed back to that board member so a person actually reads them. Every message identifies the Association, states why you are receiving it, and carries our postal address and a link to this policy.

Our email contains no tracking pixels. We do not record whether you opened a message or which links you clicked.

5. Unsolicited Commercial Email / Anti-Spam Policy

This section is addressed to mail administrators, blocklist operators, and anyone investigating a complaint. It may be cited directly at woodlandsvillage.org/privacy-policy/#anti-spam.

Woodlands Village Homeowners Assoc, Inc. does not send, and does not authorize any third party to send on its behalf, unsolicited bulk or commercial email (“spam”) advertising or promoting this website or any Woodlands Village Homeowners Assoc, Inc. domain. Any email purporting to originate from or advertise woodlandsvillage.org that was not requested by the recipient does not represent an authorized communication from Woodlands Village Homeowners Assoc, Inc. Reports of suspected abuse involving these domains should be directed to email address (enable JavaScript to view).

Supporting facts

  • Our recipients are the owners and residents of record of a single residential community of approximately 66 properties. They are not a purchased, rented, scraped, or appended list, and no list is shared with anyone.
  • Recipients are added only by registering an account on our website, which an administrator must approve, or from the Association’s own membership records.
  • Recipients who ask to be removed are removed promptly, and can do so themselves on the Communication Preferences page.
  • Where a person is entitled to a notice by law, opting out of email does not deny them the notice — it returns them to paper delivery by U.S. Mail.
  • Every message we send identifies the sender, explains why the recipient is receiving it, and includes our postal address and a link to this policy.
  • Our email carries no tracking pixels and no open- or click-tracking.

6. Who can see your contact details

We do not sell, rent, or trade member information, and we do not publish it.

Members of a Florida homeowners’ association have a statutory right to inspect many of the Association’s official records — but email addresses and telephone numbers are among the records that are not open to inspection by other members (see § 720.303(5)(g)6, Florida Statutes), unless the owner has consented in writing to their disclosure. We do not give your email address or telephone number to another member, and we do not disclose it publicly.

Your information is shared only:

  • With the service providers who operate the website and deliver our email on our behalf (see section 8);
  • With the Association’s professional advisors, where they need it to act for the Association;
  • Where the law, a court, or the Association’s governing documents require it.

7. Visitors to this website

Like almost every website, ours records technical information when you visit — your IP address, browser, and the pages you request. We use it to keep the site running and to keep it secure.

  • Cookies. If you log in, WordPress sets cookies so the site remembers you are signed in. We do not use advertising cookies.
  • Security. Wordfence records IP addresses, login attempts, and blocked requests in order to defend the site against attacks.
  • Statistics. Jetpack (Automattic) collects aggregate visitor statistics for us, which involves recording page requests and IP addresses.
  • Sign-in with Google or Facebook. If you choose to register or log in using a Google or Facebook account, that provider tells us your name and email address so we can create your account. We receive nothing else, and we do not post anything to those accounts.

8. Service providers

The Association uses third parties to run its systems. They process information on our behalf, under their own privacy terms:

  • Google — delivers the Association’s email;
  • Automattic (Jetpack) — website statistics and related services;
  • Cloudflare — delivers this website to your browser securely;
  • Defiant (Wordfence) — website security.

9. Keeping your information safe, and for how long

The website is served only over an encrypted connection (HTTPS). Members-only documents require a login, and administrative functions are restricted to authorized accounts. The Association’s records are backed up.

Florida law requires the Association to keep its official records for at least seven years (§ 720.303(4), Florida Statutes), and we keep member records for as long as we are required to and for as long as you are a member. When an owner sells and is no longer a member, their account is deactivated.

No system is perfectly secure, and we do not claim otherwise.

10. Your choices

  • Correct your details — contact the Association and we will update our records.
  • Ask what we hold about you — write to us and we will tell you.

11. Children

This website is intended for the adult owners and residents of the community. We do not knowingly collect information from children.

12. Changes to this policy

If we change this policy we will update the effective date at the top of the page, and we will tell members if the change is significant.
